Desktop publishing

Desktop publishing is the process of using the computer and specific types of software to combine texts and graphics to produce documents.

Desktop publishing software is a tool for both graphic designers and non- graphic designers to create  visual communication for professional or desktop printing.

The Word processing is use of computers to create ,edit, view,format,and store text materials for human communication.

 

Word processing Packages

Word pro
Word star
Word perfect 5.0
 Ms word 2.x/4.x/95/98/2000/XP/2003  etc.

 

Ms word

One of the word processing products introduced by Microsoft.

Gives you tools to create professionally quality documents and share information.

Loaded with helpful, time saving features

Has added many internet based facilities like E-mail, designing web pages etc.

Applies the correct proofing tools like auto correct, spell checker, grammar check ,word  to word translation etc.

 

Creating a New Document

Click the New Document button on the tool bar

Choose File| New from the menu bar

Press CTRL+N

Saving a Document

Click the Save button on the menu bar.

Select File| Save from the menu bar

Press CTRL+S

Closing a Document

Click the Close icon on the right side of the  menu bar.  

Close the current document by selecting

      File|Close

      Press Ctrl+W

 

 

 

Open an Existing Document

Click the Open File button

Choose File |Open from the menu bar

Press CTRL+O

Each method will show the Open dialog box. Choose the file and click the Open button.

Moving (Cutting) and Pasting Text

Highlight the text

Select Edit|Cut from the menu bar

Click the Cut button on the standard tool bar

Press CTRL+X at once.

Move the cursor to the location you want

Select Edit| Paste from the menu bar

Click the Paste button on the standard toolbar

Press CTRL+V.

Copying and pasting Text

Highlight the text

Choose Edit|Copy

Click the Copy button on the standard toolbar

Press CTRL+C.

Move the cursor to the location you want

Select Edit| Paste from the menu bar

Click the Paste button on the standard toolbar

Press CTRL+V.

Formatting font

Highlight the text

Select format font

Press Ctrl+D

We can format the document using these features

         Font Face

         Font Size

         Font Style bold, italicize, or underline.

         Font Colour

         Underline style

         Underline Colour

         Effects

         Strike through

         Double Strike through

         Superscript ….etc

 

Formatting paragraph

Highlight the text

Select format paragraph

Select   line spacing

Indenting

Alignment.

 

Bulleted Lists

Highlight the text

Click the Bulleted List button

Select bullets and numbering from Format menu

Numbered Lists

Highlight the text

Click the Numbering List button

Select bullets and numbering from Format menu

Borders and  Shading

Highlight the text

  Select Format|  Borders and  Shading

  Right-click within the text and select from the shortcut menu.

Columns

Highlight the text

Click the Columns button and select the number of columns by dragging the mouse.

Select Format |Columns.. Select the number and width of the columns from the dialog box.

Drop Caps

Highlight the text

         Select Format| Drop Cap

         Select

Position font number of lines to drop distance from the body text.

           

Change case

Highlight the text

Go to  Format|  change case

Press Shift+f3

Inserting page numbers

Highlight the text

Go to  Insert|  page numbers

Inserting Date and Time

Go to  Insert|  Date and time

Inserting Clip arts

Select  Insert|  picture |Clip arts

Click on the button

Inserting graphics from files

Select  Insert|  picture |From file

Inserting Auto shapes

Select  Insert|  picture | auto shapes

Click on the button

Inserting Word arts

Select  Insert|  picture | Word arts

Click on the button

Inserting texts and photos from scanners and digital cameras

Select  Insert|  picture | from scanner and camera

 

Inserting Charts

Select  Insert|  picture |charts

Spelling and grammar checking

Select Tools| Spelling and Grammar

Click on the button

Misspelled words will be highlighted in red. Change or ignore it appropriately.

Mail Merge

Select Tools| mail merge

The three steps

Create the main document

Get data from the data source

Merge the data with the document

Inserting Tables

Select  Table|  Insert | Table

Click on the button

Page set up

Select  File|  page set up

Select suitable

margins

Paper size

Paper source

Lay out 

Print preview

Select  File|  print preview

Click on the button

Printing

Select File| Print

Click on the button

Press ctrl+p

Finally print document.
